Overview

We are looking for a detail-oriented Coordinator to support our Direct Mail and Direct Response TV teams. This entry-level role focuses on campaign operations, administration, reporting and billing accuracy. Working closely with senior team members, you will follow established processes, maintain campaign information and coordinate with internal partners and vendors.

This role emphasizes hands-on support and foundational learning, not independent strategy, buying, negotiation or management. Campaign decisions and approvals remain with senior team members. The scope excludes traditional print media planning, publication buying and print production ownership.

Responsibilities

  • Support billing clearance and reconciliation across Direct Mail and Direct Response TV, maintaining accurate records and helping the team meet financial close and reconciliation deadlines.
  • Compare invoices, approved orders and delivery records; investigate discrepancies with internal teams and vendors, track outstanding items and escalate issues for senior review and resolution.
  • Maintain budget and spend trackers, organize supporting documentation and assist with Accounts Payable follow-up in accordance with established processes.
  • Monitor daily campaign pacing across clients and markets, pull performance reports, update dashboards and assist with post-buy reporting. Flag delivery or data inconsistencies promptly.
  • Set up and maintain campaign information and schedules in OX, Prisma and CORE, as applicable. Upload proposals and packages to OX and Prisma, and keep vendor rates, specifications and documentation organized.
  • Send approved orders, confirm vendor receipt and follow up on requests or missing information. Maintain clear communications with internal teams, media vendors and Direct Mail service bureaus
  • Assist with Direct Mail planning and execution, including list procurement, data management, scheduling and vendor logistics, under the direction of senior team members.
  • Assist with Direct Response TV traffic operations and schedule updates. Support Pre and  Post log  process. Review and process makegoods in OX under senior oversight, obtaining required approval before any commitment or change.
  • Follow team standards, maintain accurate task and status records, and communicate competing deadlines or obstacles early so the team can prioritize and respond.
  • Participate in internal training and vendor meetings to build proficiency in OX, Prisma and CORE and understand buying workflows alongside senior staff. Develop working knowledge of Direct Mail postal requirements, USPS promotions and channel trends.

Required Skills

  • No prior professional experience is required. This is an entry-level opportunity suitable for candidates with 0–1+ years of relevant experience.
  • A degree in marketing, media, communications or a related field is preferred, along with an interest in media, television and direct response marketing.
  • Working knowledge of Microsoft Excel, PowerPoint and Word, with comfort organizing information, maintaining spreadsheets and checking numerical accuracy.
  • Strong organization and attention to detail, with the ability to manage multiple tasks, prioritize competing deadlines and maintain reliable documentation.
  • Clear written and verbal communication skills, a collaborative approach and confidence following up with internal partners and vendors.
  • A willingness to learn new systems and processes, ask questions, take direction and apply feedback in a fast-paced team environment.

Compensation (Text Only)

In order to comply with equal pay and salary transparency laws in various locations, we believe the target range of base compensation in all locations within the United States for this role is $40,000-50,000. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and location.
